Alternatives to Microsoft 365

Microsoft 365 bundles document editing, cloud storage, email, and collaboration into one subscription. Before replacing it, figure out which parts you actually use. Free tools, a different cloud setup, or a lighter plan may cover what you need.

Options worth considering

  • Use free Microsoft Office web apps

    Word, Excel, PowerPoint, and Outlook are available for free at office.com with a Microsoft account. You lose desktop app access, advanced features, and the 1 TB OneDrive storage, but basic document editing and collaboration work. If your main use is writing and spreadsheets, this may be enough.

  • Switch to Google Docs, Sheets, and Drive

    Google Workspace tools are free for personal use with 15 GB of storage. Collaboration is strong and everything runs in the browser. The main tradeoff is document formatting. Files created in Word or Excel may lose layout details when opened in Google Docs or Sheets. If your workflow is mostly new documents and shared editing, the transition is straightforward. If you depend on complex Excel formulas or Word templates, test before committing.

  • Install LibreOffice for local editing

    LibreOffice is a free, open-source desktop suite that opens and edits Word, Excel, and PowerPoint files locally. No subscription, no cloud requirement. It handles most standard documents well but struggles with complex formatting, macros, and advanced Excel features. Good for users who work offline and do not need cloud collaboration.

  • Separate your storage from your office tools

    If the main reason you pay for Microsoft 365 is the 1 TB OneDrive storage, consider moving files to a cheaper cloud service and using free tools for documents. Google Drive offers 15 GB free. iCloud offers 5 GB free with paid tiers. Standalone cloud storage is often cheaper than a full office subscription if you do not need the desktop apps.

  • Downgrade to a smaller Microsoft plan

    Microsoft 365 Basic offers 100 GB of OneDrive storage and web app access at a lower price than the Personal or Family plans. If you need some Microsoft features but not the full desktop suite, this may reduce the cost without switching ecosystems entirely.
